If you believe any of your personal information is inaccurate, incomplete, or out of date, you may request correction.

Instructors may record online/IDL classes for quality assurance, make-up purposes, and educational review. If a class will be recorded:

International Students (F-1 Visa) 

Special Privacy Considerations for F-1 Students 

If you are an F-1 visa holder or international student sponsored by CCLS Houston, additional information applies:

  • Attendance records (reported monthly to SEVIS) 
  • Academic progress and satisfactory academic progress status

Who Has Access: 

  • CCLS Houston staff (Academic Coordinator, Administrative staff, President/CEO) 
  • U.S. Department of Homeland Security (DHS) 
  • SEVP (Student and Exchange Visitor Program) 
  • Your visa sponsor or employer (if applicable) 

 

Your Sponsor/Employer: If you are sponsored by an employer or organization, they will receive: 

  • Your attendance and academic progress records 
  • Notification of probation, termination, or withdrawal 
  • Completion status and transcripts 

 

Federal Reporting Requirements: CCLS Houston is required by law to report your enrollment, attendance, and academic status to SEVIS. Failure to meet satisfactory progress, excessive absences, or withdrawal will be reported to federal authorities as required.

SERVICE DESCRIPTION & ELIGIBILITY 

Service Overview 

CCLS Houston provides language instruction in Spanish, Portuguese, and English through in-person classes, online/interactive distance learning (IDL), private sessions, group classes, and corporate training programs. Our courses are designed for professionals, individuals, and organizations seeking to improve business communication, professional language skills, accent reduction, and cultural competency. 

Eligibility 

By enrolling in CCLS Houston programs, you represent and warrant that: 

  • You are at least 18 years of age, OR 
  • You are a minor with parental/guardian consent and understanding of all terms 
  • You have the legal right to enter into this agreement 

 

 

  • You are not prohibited from receiving education services by law or regulation 
  • You will comply with all applicable laws and CCLS Houston policies 

 

Program Types 

CCLS Houston offers the following program types: 

Non-Intensive Programs 

  • Less than 300 clock hours per enrollment period 
  • Classes available in Spanish, Portuguese, English for Effective Communication, Business English, and Accent Reduction

Intensive English Program (IEP) 

  • More than 300 clock hours, 18 hours/week, 12 levels over 96 weeks 
  • Full-time intensive English instruction 
  • See IEP Policies for specific terms 

 

Corporate Training Programs 

  • Customized programs for organizations and businesses 
  • Terms and pricing negotiated in individual corporate training agreements 
  • Corporate programs operate under separate contract terms 

 

ACCOUNT REGISTRATION & STUDENT INFORMATION 

Registration Process 

To enroll in CCLS Houston programs: 

1. Complete and sign the CCLS Houston registration form 

2. Provide accurate and complete personal information 

3. Review and agree to this Privacy Policy and Terms and Conditions 

4. Complete any required placement testing 

5. Receive invoice and payment information 

 

Accuracy of Information 

You are responsible for ensuring that all information you provide during registration is: 

  • Accurate and complete 

 

 

  • Current and up-to-date 
  • Truthful and not misleading 

 

If any information changes (address, phone, email, employment status, visa status for F-1 students), you must notify CCLS Houston immediately by contacting the Academic Coordinator. 

Login Credentials (IDL/Online Students) 

If you receive login credentials for online classes or student portals: 

  • You are responsible for maintaining the confidentiality of your username and password 
  • You may not share your credentials with others 
  • You are responsible for all activity conducted using your credentials 
  • You must immediately notify CCLS Houston of any unauthorized access 

 

PAYMENT & BILLING 

Pricing & Program Costs 

All program costs (tuition, material fees, registration fees) are clearly stated in your registration form and invoice before you commit payment. 

Payment Methods: CCLS Houston accepts: 

  • Credit cards (Visa, Mastercard, American Express, Discover) 
  • PayPal 
  • Check 
  • Cash 
  • Bank transfer (wire) 

 

Payment Terms & Due Dates 

  • Payment is due by the date specified on your invoice 
  • CCLS Houston does not bill for more than 12 months at a time 
  • Payment plans and installments may be available; payment plan terms will be provided with your invoice 

 

Installment Payments & Autopay 

If you arrange installment payments: 

  • Payments are charged on the schedule agreed upon 
  • You authorize CCLS Houston to charge your credit card on the specified dates 
  • If a payment fails, CCLS Houston will attempt to notify you and retry the charge 
  • If payment is not received, your account may be considered delinquent 

 

To Cancel Installment Payments: If you withdraw or cancel your course before the final installment is due, CCLS Houston will automatically cancel any remaining charges. 

Past Due Accounts 

If your account becomes past due: 

1. Initial Notice: Administrative staff will send a reminder by email and text message 

2. Follow-Up: If payment is not received, the Academic Coordinator may contact you by phone or email 

3. Escalation: Delinquent accounts are referred to the President for appropriate action, which may include: ● Suspension of enrollment privileges 

  • Prohibition from taking final exams or enrolling in additional courses 
  • Referral to a collection agency 
  • Legal action to recover unpaid amounts 

 

 

Non-Refundable Fees 

The following fees are non-refundable unless CCLS Houston cancels the program: 

  • Registration fees 
  • Material and textbook fees 
  • Administrative processing fees 

 

All refundable amounts are calculated based on tuition only, minus non-refundable fees. 

Discounts & Promotional Offers 

  • All students meeting the same enrollment criteria receive the same discount 
  • Discounts are based on timing, program type, and enrollment length 

 

 

  • If you pay ahead for multiple periods and later withdraw, any discounts are cancelled and refunds are calculated based on the regular (non-discounted) tuition rate 

 

CANCELLATION & REFUNDS 

Your Right to Cancel 

You may cancel your enrollment or withdraw from CCLS Houston at any time. However, refund eligibility depends on timing and program type. 

Refund Policy - Non-Intensive Programs 

For programs with less than 300 clock hours per enrollment period: 

Full Refund (minus non-refundable fees): 

1. If CCLS Houston cancels the program 

2. If you cancel before the first class starts or never attend 

3. If CCLS Houston rejects you for enrollment 

 

Prorated Refund (minus non-refundable fees): 

  • If you stop attending before completing 10 hours of instruction, you receive a refund for the remaining tuition (or credit option) 
  • If you stop attending after completing 10+ hours, you receive a credit for hours remaining 

 

No Refund: 

  • Material and registration fees (unless CCLS cancels the course) 
  • Credits must be used within 12 months or they are forfeited 

 

Special Note on Modality Changes: If you change class modality (in-person to online, group to private, etc.), a rate adjustment will be made at CCLS Houston's discretion. Changes are subject to approval and may result in additional charges or credits.

Refund Policy - IEP (Intensive Programs) 

For intensive programs with 300+ clock hours: 

Full Refund (minus non-refundable fees): 

1. If CCLS Houston cancels the program 

2. If you cancel before the first class starts or never attend 

3. If CCLS Houston rejects you for enrollment 

 

Partial Refund (for First-Time Enrollees in First Payment Period): 

  • If you stop within first 4 weeks: School retains 4 weeks tuition 
  • If you stop between weeks 4 and midpoint: Prorated refund 
  • If you stop after midpoint: No refund 

 

Partial Refund (for Returning Students): 

  • If you stop before midpoint: Prorated refund 
  • If you stop after midpoint: No refund 

 

No Refund: 

  • Materials and registration fees (unless CCLS cancels the program) 
  • Any tuition paid after the midpoint of a term

Refund Processing Timeline 

All refunds will be processed within 45 calendar days of: 

  • Your withdrawal/cancellation date 
  • Last day of attendance (if you stop attending) 
  • Course cancellation date (if CCLS cancels) 
  • Administrative withdrawal date (if you're withdrawn for excessive absences) 

 

Refund Payment Methods 

Refunds will be processed according to your original payment method: 

  • Credit card: Refunded to same card (minus processing charges), within 45 days 
  • Check or cash payment: Refunded by CCLS Houston check (cash <$50 refunded in cash) 
  • PayPal: Refunded to same PayPal account 
  • Wire transfer: Refunded via check or wire transfer (minus bank fees) 

 

All refunds are made to the original payer. CCLS Houston must confirm receipt of your original payment before issuing any refund. 

Administrative Withdrawal 

CCLS Houston may administratively withdraw you if: 

  • You miss 30% of your course hours consecutively (excluding school breaks), unless you have an approved Leave of Absence 
  • You violate the Attendance Policy and reach termination thresholds 

 

Administrative withdrawal triggers refund calculations based on your last day of attendance.

Leave of Absence (Temporary Pause in Studies) 

If you need to temporarily pause your studies without withdrawing:

CLASS ATTENDANCE & PARTICIPATION 

Attendance Requirements 

You are required to maintain minimum 80% attendance to remain in good academic standing. 

  • Attendance is tracked by instructors in every class 
  • Excessive absences may result in administrative withdrawal 
  • Absences due to emergency or illness may be excused but still count toward your attendance percentage

Class Rescheduling & Late Cancellation 

Private & Semi-Private Classes: 

  • You may reschedule with 24-hour notice at no charge 
  • Late cancellations (less than 24 hours notice) or no-shows will be charged as attended classes 
  • Reschedule requests must be submitted to your instructor 

 

Group Classes: 

  • Group classes cannot be rescheduled unless all students agree and provide at least 24-hour notice 
  • If all students agree to reschedule, no attendance mark is recorded 
  • Individual requests to skip group classes count as absences 

 

Online/IDL Classes: 

  • Same 24-hour rescheduling policy as private classes 
  • Technical difficulties: Notify instructor immediately if you experience connection problems 

 

Class Cancellations by CCLS Houston 

CCLS Houston reserves the right to cancel classes in cases of: 

  • Instructor illness or emergency 
  • Extreme weather or natural disaster (see Emergency Preparedness Policy) 
  • Insufficient enrollment (for group classes) 
  • Other unforeseen circumstances 

 

If CCLS Houston Cancels a Class: 

  • Make-up class will be scheduled at no additional cost 
  • If you cannot attend the make-up class, a credit will be issued for the missed hours 
  • Credits must be used within 12 months 

 

STUDENT CONDUCT & ACCEPTABLE USE 

Standards of Conduct 

As a student of CCLS Houston, you agree to: 

  • Respect & Professionalism: Treat instructors, staff, and fellow students with respect and courtesy 
  • Attendance: Attend classes regularly and on time (per Attendance Policy) 
  • Participation: Engage actively in class learning activities and discussions 
  • Academic Integrity: Complete assigned work honestly without plagiarism or cheating 
  • Compliance: Follow all CCLS Houston policies and procedures 
  • Payment: Pay tuition and fees by the due date 

 

Prohibited Conduct 

You agree NOT to: 

  • Harass, bully, or discriminate against instructors, staff, or other students based on race, color, ethnicity, national origin, religion, gender, sexual orientation, disability, or any other protected characteristic 
  • Engage in violent, threatening, or disruptive behavior 
  • Violate applicable local, state, or federal laws 
  • Attempt to hack, disrupt, or gain unauthorized access to CCLS Houston systems or student accounts 
  • Share or distribute confidential student information or course materials without permission 
  • Infringe on copyrights or intellectual property rights 
  • Record classes without instructor permission (see Recording Consent, below) 
  • Engage in academic misconduct (cheating, plagiarism, unauthorized collaboration) 
  • Use drugs, alcohol, or weapons on CCLS Houston premises 

 

Recording Consent 

Instructors may record online/IDL classes for: 

  • Make-up purposes (if you miss a session) 
  • Quality assurance and instructor evaluation 
  • Student learning support 

 

Your Consent: 

 

  • You consent to being recorded during online classes 
  • Recorded sessions will not be used for marketing or public distribution without your explicit written consent 
  • You may opt out of being recorded by notifying your instructor before class begins (you may need to attend a make-up session instead) 

 

Recording Policy: 

  • Recordings are retained for 30 days for make-up purposes, then deleted 
  • Recordings are password-protected and accessible only to instructors and authorized CCLS Houston staff 
  • Students may not record or stream classes without instructor permission 

 

Consequences for Misconduct 

Violation of these conduct standards may result in: 

  • Warning or verbal reprimand 
  • Suspension of enrollment privileges 
  • Immediate termination from the program without refund 
  • Referral to law enforcement (if illegal activity) 
  • Legal action to recover damages 

 

CCLS Houston will follow the Complaint Processing Policy to address complaints and provide due process. 

INTELLECTUAL PROPERTY 

Ownership of Course Materials 

All curriculum, teaching materials, videos, audio files, textbooks, supplementary content, and methodology used in CCLS Houston programs are the exclusive property of CCLS Houston and protected by copyright law. 

This includes: 

  • Course syllabi and lesson plans 
  • Teaching videos and multimedia content 
  • Proprietary CCLS teaching methodology 
  • Handouts, worksheets, and practice materials 
  • Assessment tools and exams 

 

 

  • Proprietary software and platforms 

 

Your Limited License 

You are granted a limited, non-exclusive, non-transferable license to use course materials for your personal learning only, for the duration of your enrollment. 

You may NOT: 

  • Copy, reproduce, or scan course materials without permission 
  • Distribute materials to anyone outside the class 
  • Upload materials to file-sharing platforms or social media 
  • Modify or create derivative works 
  • Reverse-engineer or attempt to copy teaching methodology 
  • Share your login credentials with others 

 

Unauthorized Reproduction 

Unauthorized reproduction, distribution, or use of CCLS Houston materials is prohibited and may result in: 

  • Disciplinary action up to and including termination 
  • Legal action for copyright infringement 
  • Liability for damages

Student-Created Work 

When you submit assignments, essays, presentations, or other work for your course: 

  • You retain ownership of your original work 
  • You grant CCLS Houston permission to use your work for instructional feedback and record-keeping 
  • CCLS Houston may use your work as an example (anonymously or with permission) for teaching or quality assurance purposes 
  • If your work is used in marketing or case studies, we will request written permission first (see Testimonials section in Privacy Policy) 

 

Third-Party Content 

If you use third-party content (images, music, video, text) in your assignments: 

 

  • You are responsible for ensuring you have appropriate permissions or licenses 
  • You must properly credit all sources 
  • CCLS Houston is not liable for your use of third-party content

  • Specific Learning Outcomes: Language learning outcomes depend on consistent attendance, effort, and individual learning ability. We cannot guarantee you will achieve fluency, specific proficiency levels, or certification standards. 
  • Job Placement or Career Advancement: Improved language skills may enhance your professional opportunities, but we cannot guarantee job placement, promotion, salary increases, or specific career advancement. 
  • Uninterrupted Service: While we maintain high standards, classes and online platforms may occasionally experience: ● Technical difficulties (internet outages, platform downtime) 
  • Schedule changes for emergency situations 
  • Instructor illness or unexpected absence 
  • Weather-related cancellations

  • Specific Accent Elimination: Accent reduction programs can significantly improve pronunciation and clarity, but complete accent elimination varies by individual. 
  • Visa Status or Immigration Consequences: While we maintain F-1 SEVIS compliance, CCLS Houston cannot guarantee visa approval, status maintenance, 

 

 

or specific immigration outcomes. Visa decisions are made by the U.S. government. 

 

Learning Outcomes ARE Measured 

We DO provide: 

  • Regular progress assessments and feedback 
  • Final evaluations with documented scores 
  • Transcripts showing course completion and achievement 
  • Written progress reports

Force Majeure 

CCLS Houston will not be liable for failure to perform its obligations due to circumstances beyond reasonable control, including: 

  • Natural disasters (hurricanes, earthquakes, floods) 
  • Pandemics or communicable disease outbreaks 
  • War, terrorism, or civil unrest 
  • Government actions or regulations 
  • Utility failures or infrastructure damage 
  • Strikes or labor disputes 
  • Internet outages or cyber attacks 

 

In such events, CCLS Houston will: 

  • Reschedule classes when feasible 
  • Provide online alternatives if possible 
  • Issue credits or extend course deadlines 
  • Follow 
  • Emergency Preparedness Policy 
  • procedures 

 

LIMITATION OF LIABILITY 

What CCLS Houston Is NOT Liable For 

To the maximum extent permitted by law, CCLS Houston is NOT liable for: 

  • Indirect Damages: Lost profits, lost wages, lost productivity, lost business opportunities, lost data, reputational harm, emotional distress 
  • Consequential Damages: Any damages that result indirectly from our services 
  • Punitive Damages: Damages designed to punish rather than compensate 
  • Third-Party Services: Problems caused by third-party platforms (Zoom, PayPal, Google, Meta) or their services 
  • Student Conduct: Harassment, misconduct, or actions of other students or instructors 
  • External Circumstances: Events beyond CCLS Houston's reasonable control (force majeure, technical failures, government actions) 

 

Cap on Liability 

In any claim against CCLS Houston, our maximum liability will not exceed the total amount you paid for the program or service that caused the claim (or $500, whichever is greater). 

Example: If you paid $1,000 for a course and claim $50,000 in damages, our liability would be capped at $1,000. 

These Limitations Apply Even If: 

  • We've been advised of the possibility of such damages 
  • CCLS Houston fails to perform its obligations 
  • You suffer losses due to our negligence 

 

Disclaimer on Third-Party Services 

CCLS Houston uses third-party platforms (Zoom, PayPal, Google Analytics, etc.). While we select carefully, we are not responsible for: 

  • Service interruptions or outages 
  • Data security breaches 
  • Changes to their terms or policies 
  • Poor quality or features 

 

DISPUTE RESOLUTION 

Informal Resolution (First Step) 

If you have a dispute with CCLS Houston, we encourage you to try informal resolution first: 

1. Contact the Instructor: For academic concerns, discuss with your instructor 

2. Contact the Academic Coordinator: For program-related issues 

3. Contact the President: For unresolved complaints

Mediation 

If informal resolution doesn't work, either party may request mediation. A neutral mediator will help both parties reach agreement. Mediation is voluntary and confidential. 

Governing Law & Jurisdiction 

These Terms and Conditions are governed by the laws of Texas, without regard to its conflict of law principles. 

Any legal action or proceeding arising from these Terms must be brought in the state or federal courts located in Harris County, Texas, and you consent to the exclusive jurisdiction and venue of these courts. 

Severability 

If any provision of these Terms is found invalid or unenforceable, that provision will be severed, and all other provisions will remain in effect. 

MODIFICATIONS TO THESE TERMS 

CCLS Houston's Right to Update 

CCLS Houston may update, modify, or revise these Terms and Conditions at any time. Changes become effective on the date posted on our website. 

Your Continued Enrollment Means Acceptance: If you continue attending classes after changes are posted, you are deemed to have accepted the new terms. 

We Recommend: 

  • Reviewing these Terms periodically for updates

Material Changes
